Crew Guidelines

General

Remember – YOU are the public face of the Group.

As crew you may be requested or required to carry out any of the following duties:

Assisting with site set up
Obtaining refreshments for costumed members
Acting as local security
Spotting obstacles for the costumed member you’re looking after
Ensuring the safety and security of any costumed member you’re looking after and also the public themselves
Ensuring over exuberant members of the public don’t pull your costumer’s costumes apart
Answering questions about the group and costuming in general
Manning the group’s exhibition stand
Giving out leaflets, business cards and postcards
Making running repairs to costumers costumes
Assisting costumers with kitting up
Ensuring your costumer takes adequate breaks and watching out for their health and safety – costumers can be stubborn
Reminding and enforcing eventing guidelines
Assisting with marches and parades
Tin and Bucket collections
Assisting your costumed member with anything they cannot do themselves when in costume

As you can see, good crew are absolutely vital to the success of any given event. Poor standards of crewing make for accidents, frustration and a poor image of the group in the eyes of the public.

Remember Who You Are Representing!

Whilst attending an event with Star Warriors please remember that you are representing not only yourself but the entire group. Please remember that your conduct in public will reflect upon the entire group. Any member of Star Warriors  MUST wear visible Star Warriors Insignia on their costume when attending an event as a member of Star Warriors  - No other visible insignia will be allowed and must be removed when requested or required to do so. Failure to adhere to this guideline could have serious consequences for our Public Liability Insurance and any member who does not comply with this request will be required to leave any such event. Star Warriors insignia will be distributed by a member of the Star Warriors administration team at any given event to those that require it.

Please be circumspect when holding conversations with other Group members in earshot of the public.

Be Polite

Crew members will be civil, approachable and polite to members of the public. Rudeness or discourtesy to members of the public will not be tolerated.

Whilst in the public eye, members are not to use foul language, aggressive behaviour, obscene hand gestures and under no circumstances must participate in any course of action that could be construed as offensive or discriminatory. Any breach of this guideline will result in that member being requested to leave an event and could result in their permanent ban from any future Star Warriors events or from Star Warriors in its entirety.

Please be aware that whilst in public you are still subject to the normal and usual requirements of the law. If a costumed member is assaulted in any way please notify the senior Star Warriors representative on site who will try to make contact with the Police as soon as practical.

Assaults on Costumed Members

Unfortunately they do happen. If you witness a costumed member being assaulted in any way please notify the senior Star Warriors representative on site or try to make contact with the Police as soon as practical

Photos

Please try and ensure that costumed members oblige people who ask for photos wherever possible (sometimes they may not hear the request). It will make their day and gives them a great memory. In certain instances, where the event is held entirely for the benefit of a charity for example, a small donation to the charity may be requested before granting permission for any pictures to be taken. Even where a request for a donation is refused any reasonable request for a picture should be granted.

Breaks

It is essential for crew as well as costumed members to take regular breaks. Crewing is hard work. BUT please remember that taking too long a break is not acceptable as you could unintentially put a costumed member at risk by not being there.

Standards

Whilst you do not need a costume to be a crew member, it should be clear to members of the public that you are there in an official capacity. Crew T-Shirts are available through a shop link on the forums and it is expected that you will obtain and wear one if you wish to crew.

Crew

You are just as vital to the success of a given event as a costumed member. Do not wander off on your own without letting someone know where you are going. Costumers who wear restrictive costumes (for example, with poor vision or mobility such as Stormtrooper armour or alien costumes, etc) should always be accompanied by a crew member at a minimum ratio of one crew per two costumed members.

Alcohol and Substance Abuse

The consumption of alcoholic drinks is not permitted at any event whilst in costume or crew uniform and anyone found operating under the influence of alcohol will be removed from the site and their membership of Star Warriors will be reviewed.

The use or abuse of non-prescription drugs, solvents or other substances whilst attending an event will NOT be tolerated at any time under ANY circumstances whatsoever. Any member found under the influence of or abusing any drugs, solvents or other substances will be removed from the site and their membership of Star Warriors terminated immediately.

Star Warriors operates a zero tolerance policy towards substance abuse.

Smoking

Please adhere to Government legislation on smoking and ensure that you also adhere to any local policies. Please do not smoke in costume in sight of the public. If you require a smoke break please inform a member of staff before wandering off.

Public Liability Insurance

Star Warriors is covered by an appropriate Public Liability Insurance Policy. You MUST be a member of Star Warriors to be covered by this insurance. Please direct all enquiries relating to Public Liability Insurance to the Star Warriors administration team.

Health and Safety

Please be safety conscious at all times. Though we wish to be as entertaining as possible this must be coupled with the legal obligation not to put ourselves or others at risk. For indoor events please refer to senior Star Warriors personnel who will instruct you on fire escape procedures etc before the event commences. Please refer any questions on site health and safety at any event to the senior Star Warriors representative on site. Prior to presenting yourself at your first Star Warriors event you MUST complete the relevant Health & Safety form that will be given to you by the senior Star Warriors representative on site. At subsequent events you will be expected to sign the group register before being allowed to participate. This is for your own safety and to ensure that you are covered by the group's public liability insurance.

Commitment

When you sign up for an event can you please ensure that you are 100% committed. Last minute drop outs make life very difficult for our staff team and everyone else involved in the event. It could even result in us losing future events. Although we are providing a free service this does not make it any the less professional. If you cannot make an event due to unforeseen circumstances please ensure that notify the Events Manager as soon as practically possible, even on the day of the event, as this saves people from waiting around not knowing you aren't going to arrive.

If you are going to attend an event please ensure that you leave in sufficient time and that you are not late in arriving. If you are going to be late for ANY reason whatsoever please contact the senior member on site as soon as you know you are going to be late so that alternative arrangements can be made.

Last but not Least...

These guidelines have been written to protect you and to ensure that any event goes off with the minimum of hitches. Please take note of them and refer back to them periodically. You will be reminded again of the eventing guidelines upon your arrival at any event. Please remember the most important part of crewing:
